Invitation To Exhibit

The 105th Southwest Section American Water Works Association Annual Conference & Exposition, Working for Water in the Heartland, will be held at the Renaissance Oklahoma City Convention Center Hotel, in Oklahoma City, Oklahoma on October 15-17, 2017. As Chair of the Southwest Section and the Local Host Committee, I would like to personally invite you to participate in our conference as an Exhibitor for an opportunity to showcase your company and introduce new products. The audience includes decision-makers from water utilities, local government agencies, engineering consulting firms, and water construction contractors. The Annual Conference and Exposition attracts hundreds of water professionals from Oklahoma, Arkansas and Louisiana and, in addition to the trade show, the event will feature professional development and technical sessions. You will not want to miss this opportunity to highlight your company at this large gathering of water professionals.

Should you not be able to participate as an Exhibitor or if you’re interested in additional branding opportunities, other sponsorship opportunities are available. Sponsorship offers the opportunity for you to connect with potential clients, build brand recognition with your target market, and increase your exposure. As a Sponsor, your company will be recognized in print publications, on the Southwest Section website, and on signage during the event. Sunday

  • Exhibit Hall Setup – 7:00 a.m. to 3:00 p.m.
  • Golf Tournament at Silverhorn Golf Club – Check-in at 9:30 a.m. – Tee Time at 10:30 a.m.
  • Meet & Greet – 4:00 p.m. to 6:00 p.m. – Exhibit Hall C/D/E, 2nd Floor of Renaissance OKC Convention Center

Monday

  • Exhibit Hall Opens and Continental Breakfast – 7:30 a.m.
  • President’s Luncheon – 11:30 a.m. to 1:00 p.m. – Exhibit Hall closed during luncheon
  • Exhibit Hall Opens – 1:00 p.m.
  • Social Hour and Networking – 4:30 p.m. to 6:00 p.m. – Exhibit Hall
  • Exhibit Hall closes at 6:00 p.m.

Tuesday

  • Exhibit Hall Opens and Continental Breakfast – 7:30 a.m.
  • Lunch with Exhibitors – Exhibit Hall – 11:30 a.m. to 1:00 p.m.
  • Social Hour and Water for People Prize Drawings – Exhibit Hall – 3:30 p.m. to 5:00 p.m.
  • Exhibit Hall closes for Takedown – 5:00 p.m.

The cost for the first booth for members is $725, with additional booths available for $625 each. Nonmember booths are $875 for the first and $775 for an additional. Each booth rental includes registrations for two exhibitors with tickets for all events (Meet & Greet, Monday Luncheon, and Tuesday Luncheon). Each rental also includes registrations for two exhibitors without event tickets. Event tickets are available for purchase separately, if desired.

FYI – You can pick out your exact booth location on the Exhibit Hall Map here: www.swawwa.org/booth-layout-assignments/. When you purchase your booth/booths you will be asked to enter your preferred booth location.

Renaissance Oklahoma City Convention Center Hotel can provide shipping and receiving for limited items. Shipping and Receiving information is available http://www.swawwa.org/ace-exhibitor-registration/. Drayage and other booth set up services are arranged through a third-party vendor.
